Accounts Payable Specialist – Full Time

JOB SUMMARY/OBJECTIVE: At Arborwear, the AP Specialist will be responsible for handling Arborwear’s disbursements and managing our accounts payable ledger. You will be tasked with receiving, organizing, and logging invoices in an accurate and timely manner, as well as other duties like bank reconciliation preparation, accounts payable invoice entry, credit card reconciliation and expense report handling.
Key Responsibilities
  • Process outgoing payments in compliance with financial policies and procedures.
  • Perform day to day financial transactions, including verifying, classifying, and recording accounts payable data.
  • Reconcile the accounts payable ledger to ensure that all bills and payments are accurately accounted for and properly posted.
  • Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.
  • Facilitate payment of vendor invoices due.
  • Prepare monthly credit card reconciliations in a timely and accurate manner.
  • Generate reports detailing accounts payable status.
  • Accurate coding of invoices to the proper expense accounts and cost centers.
  • Understands compliance matters around accounts payable processes (W-9, sales tax, 1099’s, etc.)
Qualifications
  • Proven working experience as Accounts Payable Specialist.
  • Solid understanding of basic bookkeeping and accounts payable principles.
  • Proven ability to calculate, post and manage accounting figures and financial records.
  • Ability to work closely and effectively communicate with various departments/backgrounds.
  • Proficient data entry skills
  • Hands-on experience in operating spreadsheets and accounting software.
  • Proficiency in Microsoft Excel.
  • High degree of accuracy and attention to detail.
  • Associates’ degree in finance and/or Accounting, with a Bachelors’ Degree being preferred.
Work Environment: This is a full-time in-office exempt position. Core hours are from 8:00 am-5:00 pm, with a minimum of 8 hours worked per day. Minor amounts of overtime may be required at certain periods of the year.
Reporting Relationships: The position reports directly to the Accounting Manager and collaborates closely with the Controller.
